This Privacy Policy applies to the Weekend Campouts website, applications, booking platform, community features, communications, trips, and related services collectively referred to as the "Platform." The Platform is operated by Adventure Community Co, doing business as Weekend Campouts ("Weekend Campouts," "we," "us," or "our").

By accessing or using the Platform, creating an account, booking or organizing a trip, signing a waiver, or otherwise providing personal information to us, you acknowledge the practices described in this Privacy Policy.

1. Scope of This Privacy Policy

This Privacy Policy explains:

  • The personal information we collect;
  • How we collect that information;
  • How we use and disclose it;
  • How participant profiles and trip information are shared;
  • How long we retain information;
  • The choices and privacy rights available to users; and
  • How to contact us about our privacy practices.

This Privacy Policy does not apply to third-party websites, campgrounds, vendors, payment processors, social-media platforms, transportation providers, or other services that maintain their own privacy policies.

2. Personal Information We Collect

The information we collect depends on how you use the Platform.

2.1 Account and Contact Information

When you create an account, book a trip, contact us, or become an organizer, we may collect:

  • Full name;
  • Email address;
  • Telephone number;
  • Mailing or billing address;
  • Date of birth or age confirmation;
  • Username;
  • Password or authentication credentials;
  • Emergency contact information;
  • Profile photograph;
  • Account role, such as Participant, Organizer, or Admin; and
  • Communication preferences.

Passwords should be stored through secure authentication systems and should not be available to Weekend Campouts staff in readable form.

2.2 Participant Profile Information

Participants may be required to complete a profile before booking a trip. Profile information may include:

  • Profile photograph;
  • General location, such as city or region;
  • Outdoor interests;
  • Camping or hiking experience;
  • Number of national parks visited;
  • Favorite outdoor activities;
  • Memorable camping or hiking experiences;
  • Favorite campfire snacks or meals;
  • Bucket-list destinations;
  • Biography or personal introduction; and
  • Other profile questions displayed on the Platform.

Certain profile information may be visible to other registered users or confirmed participants, as explained in this Privacy Policy. Participants should not include sensitive personal information in public or participant-visible profile fields.

2.3 Booking and Trip Information

When you book or participate in a trip, we may collect:

  • Trip selected;
  • Booking date;
  • Number and identity of participants;
  • Booking status;
  • Payment status;
  • Discounts, credits, or promotional codes;
  • Attendance information;
  • Cancellation or transfer requests;
  • Trip-specific acknowledgments;
  • Signed-waiver status;
  • Organizer notes related to the booking;
  • Equipment or rental selections;
  • Meal participation;
  • Potluck selections;
  • Carpool preferences;
  • Pickup or meeting arrangements; and
  • Communications relating to the trip.

2.4 Additional Participant and Guest Information

When one person books for multiple participants, we may collect information about each participant. The primary booking user is responsible for providing accurate information and confirming that they are authorized to submit information about additional participants.

Each adult participant may be required to create or complete their own account, profile, acknowledgments, and digital waiver before attending. Information that should already exist in a participant's account should be reused where appropriate instead of being collected repeatedly during the waiver-signing process.

2.5 Health, Accessibility, Allergy, and Dietary Information

For certain trips, an organizer may request information such as:

  • Food allergies;
  • Dietary restrictions;
  • Mobility or accessibility needs;
  • Relevant health considerations;
  • Medications or emergency information voluntarily disclosed; and
  • Other information reasonably necessary to evaluate an accommodation or help manage participant safety.

This information will only be requested when relevant to the trip or when the organizer has enabled the applicable health and dietary information option. For example, dietary information should not be mandatory merely because a trip includes an optional participant-led potluck or when the organizer is not providing meals.

We ask participants to provide only information that is reasonably necessary for trip safety or accommodation purposes. Weekend Campouts is not a healthcare provider, and information provided through the Platform is not part of a medical record governed by HIPAA unless specifically stated otherwise.

2.6 Activity Waivers and Legal Acknowledgments

When you review or sign an Activity Waiver, Terms of Service, cancellation policy, or other acknowledgment, we may collect:

  • Your legal name;
  • Electronic or digitally drawn signature;
  • Date and time of acceptance;
  • Waiver or policy version;
  • Booking ID;
  • Trip ID;
  • Participant ID;
  • IP address;
  • Browser or device information;
  • Acceptance status; and
  • The specific acknowledgment language accepted.

Signed waivers and legal acceptance records may be retained for legal, insurance, safety, and dispute-resolution purposes.

2.7 Payment and Transaction Information

When you make or receive a payment, we may collect:

  • Transaction amount;
  • Payment status;
  • Billing name and address;
  • Payment method type;
  • Limited payment method details, such as the card brand and last four digits;
  • Refund, credit, dispute, or chargeback information;
  • Organizer payout information; and
  • Related transaction identifiers.

Full payment-card details are generally collected and processed directly by Stripe or another payment processor. Weekend Campouts does not intend to store complete card numbers or security codes on its own servers.

If Stripe Connect is used, organizers may also provide identity, tax, banking, and verification information directly to Stripe for payout and compliance purposes.

2.8 Carpool Information

When you use a carpool feature, we may collect:

  • Whether you are offering or requesting a ride;
  • General departure location;
  • Proposed pickup location;
  • Available seats;
  • Departure time;
  • Contact preferences;
  • Vehicle information voluntarily provided;
  • Accessibility or luggage details; and
  • Messages exchanged with potential drivers or passengers.

Carpool information should only be visible to users authorized to access the applicable trip's participant features. We recommend that users avoid posting home addresses publicly and instead exchange exact pickup information privately with confirmed participants.

2.9 Potluck and Meal Information

When a trip includes a potluck or meal signup, we may collect:

  • Whether you are participating;
  • Food or beverage selection;
  • Number of servings;
  • Ingredient or allergen information voluntarily provided;
  • Dietary category; and
  • Comments related to the meal.

Potluck information may be visible to the organizer and confirmed participants on that trip.

2.10 Organizer Information

If you apply to become or operate as an organizer, we may collect:

  • Identity and contact information;
  • Profile information;
  • Organizer biography;
  • Outdoor or leadership experience;
  • Certifications or permits;
  • Insurance information;
  • Trip history;
  • Participant reviews;
  • Tax information;
  • Business information;
  • Payment and payout account information;
  • Government identification submitted through a payment provider;
  • Background or safety-related information, if required; and
  • Communications with participants and administrators.

2.11 Communications

When you communicate with us, organizers, or other users, we may collect:

  • Email correspondence;
  • Support requests;
  • Contact-form submissions;
  • Text messages;
  • Platform messages;
  • Reviews and feedback;
  • Reports of misconduct or safety concerns;
  • Survey responses; and
  • Records of customer-service interactions.

Messages exchanged through the Platform may be processed and retained to provide the messaging service, investigate complaints, maintain safety, prevent abuse, and resolve disputes.

2.12 Photos, Videos, Reviews, and User Content

We may collect content you upload or submit, including:

  • Profile photographs;
  • Trip photographs or videos;
  • Comments;
  • Reviews;
  • Discussion posts;
  • Messages;
  • Organizer listings;
  • Captions; and
  • Other user-generated content.

You should only upload content that you have the legal right to use and share. Trip photographs and videos may also be subject to a separate media release or consent choice.

2.13 Device and Usage Information

When you use the Platform, we or our service providers may automatically collect:

  • IP address;
  • Browser type;
  • Device type;
  • Operating system;
  • Device identifiers;
  • Language preferences;
  • Referring and exit pages;
  • Pages viewed;
  • Features used;
  • Links clicked;
  • Approximate location derived from an IP address;

  • Cookie identifiers; and
  • Security and fraud-detection information.

2.14 Precise Location Information

Weekend Campouts does not intend to continuously track participants' precise physical locations.

If a future Platform feature requests precise device location, we will request appropriate permission and explain how the location will be used. Users may manage location permissions through their browser or device settings.

3. How We Collect Information

3.1 Directly From You

For example, when you:

  • Create or update an account;
  • Complete a participant profile;
  • Book or cancel a trip;
  • Sign a waiver;
  • Apply to become an organizer;
  • Join a carpool or potluck;
  • Submit health or dietary information;
  • Upload content;
  • Contact customer support;
  • Complete a survey; or
  • Communicate through the Platform.

3.2 From Other Users

We may receive information about you from:

  • A person booking on your behalf;
  • An organizer managing your trip;
  • A carpool participant;
  • Another participant reporting a safety concern;
  • A person tagging or identifying you in trip content; or
  • An administrator managing a complimentary booking.

3.3 Automatically

We may collect device, browser, cookie, security, and usage information automatically when you access the Platform.

3.4 From Service Providers and Third Parties

We may receive information from:

  • Payment processors;
  • Authentication providers;
  • Email and text-message providers;
  • Analytics providers;
  • Fraud-prevention services;
  • Mapping and location services;
  • Customer-support platforms;
  • Cloud-hosting providers;

  • Campgrounds or activity providers;
  • Advertising platforms, if used; and

  • Allow participants to communicate;
  • Manage complimentary attendees;
  • Provide customer support; and
  • Deliver Platform functionality.

4.2 Manage Trips and Participant Safety

  • Confirm eligibility;
  • Verify required profile completion;
  • Confirm waiver signatures;
  • Communicate itinerary and safety information;
  • Support organizers;
  • Respond to emergencies;
  • Address allergy, dietary, health, or accessibility requests;
  • Investigate incidents;
  • Enforce participant conduct rules; and
  • Communicate with emergency contacts when reasonably necessary.

4.3 Process Legal Agreements

  • Document acceptance of the Terms of Service;
  • Store cancellation-policy acknowledgments;
  • Maintain signed Activity Waivers;
  • Verify the version accepted;
  • Establish legal consent;
  • Respond to disputes or legal claims; and
  • Meet insurance or recordkeeping requirements.

4.4 Communicate With You

Service-related communications are part of operating your account and may not be subject to marketing opt-out preferences.

4.5 Send Marketing Communications

With any consent required by law, we may send:

  • Upcoming trip announcements;
  • Newsletters;
  • Special offers;
  • Community updates;
  • Surveys;
  • Referral offers; and
  • Other promotional communications.

You may unsubscribe from marketing emails using the link included in the email.

You may opt out of marketing text messages by replying STOP or following the instructions in the message.

Opting out of marketing does not stop necessary booking, account, safety, or transaction communications.

4.6 Personalize and Improve the Platform

  • Remember preferences;
  • Recommend relevant trips;
  • Improve trip listings;
  • Analyze Platform use;
  • Test features;
  • Diagnose technical issues;
  • Improve accessibility and usability;
  • Develop new functionality; and
  • Understand user interests and Platform performance.

4.7 Protect the Platform and Its Users

  • Prevent fraud;
  • Detect suspicious activity;
  • Secure accounts;
  • Prevent harassment or abuse;
  • Enforce our Terms of Service;
  • Investigate misconduct;
  • Protect participants, organizers, and staff;
  • Protect property and legal rights; and
  • Maintain records of banned or suspended accounts.

4.8 Comply With Legal Obligations

  • Comply with laws, regulations, legal process, and government requests;
  • Meet tax and financial reporting requirements;
  • Respond to subpoenas or court orders;
  • Establish or defend legal claims;
  • Cooperate with law enforcement when legally required; and
  • Fulfill insurance and risk-management obligations.

5. How Profile and Trip Information Is Visible

Weekend Campouts includes social and community features. Not all account information is private.

5.1 Publicly Visible Information

Depending on Platform settings, the following may be visible without booking a trip:

  • Organizer name;
  • Organizer profile photograph;
  • Organizer biography;
  • Public trip listings;
  • Public reviews;
  • Publicly submitted comments or content; and
  • Limited participant profile information when the user has chosen to make it public.

5.2 Information Visible to Registered Users

Registered users may be able to view:

  • Profile names;
  • Profile photographs;
  • Profile answers;
  • General interests;
  • Community posts;
  • Reviews; and
  • Other information designated as visible to members.

5.3 Information Visible to Confirmed Trip Participants

To support community and trip coordination, confirmed participants on the same trip may be able to view:

  • Participant name;
  • Profile photograph;
  • Profile biography or answers;
  • Carpool signup information;
  • Potluck signup information;
  • Messages or comments posted to the trip;
  • Attendance status; and
  • Other trip-related information intended for the participant group.

Attendee lists, carpool details, potluck details, and participant-only trip discussions should not be visible to the general public or users who are not confirmed on that trip.

5.4 Information Visible to Organizers

The applicable trip organizer may receive information reasonably necessary to manage the trip, including:

  • Participant names;
  • Contact information;
  • Booking status;
  • Waiver completion status;
  • Emergency contact information;
  • Carpool and potluck information;
  • Approved health, dietary, accessibility, or safety information;
  • Trip-related messages; and
  • Information needed to handle an incident or accommodation.

Organizers may use participant information only to operate the trip, communicate with participants, address safety matters, and fulfill their responsibilities through Weekend Campouts. Organizers may not use participant information for unrelated marketing, sell it, upload it to an unrelated mailing list, or disclose it unnecessarily.

5.5 Information Visible to Admins

Authorized Weekend Campouts administrators may access information needed to:

  • Operate the Platform;
  • Manage users and roles;
  • Support bookings;
  • Review waivers and acceptance records;
  • Process refunds and disputes;
  • Investigate safety or conduct reports;
  • Manage organizer payouts;
  • Provide technical support; and
  • Comply with legal obligations.

Access should be limited according to the administrator's role and responsibilities.

6. How We Disclose Personal Information

We may disclose personal information in the following circumstances.

6.1 To Trip Organizers

We disclose relevant participant information to the organizer responsible for the booked trip.

6.2 To Other Confirmed Participants

We disclose limited profile and trip-coordination information to participants on the same trip as described above.

6.3 To Service Providers

We may disclose information to companies that perform services for us, such as:

  • Cloud hosting;
  • Database services;
  • Authentication;
  • Website and application development;
  • Payment processing;
  • Organizer payouts;
  • Email delivery;
  • Text messaging;
  • Customer support;
  • Analytics;
  • Mapping;
  • Fraud detection;
  • Security;
  • File and photo storage;
  • Electronic signatures; and
  • Legal or accounting services.

These providers may access information only as reasonably necessary to provide their services or as permitted by their own applicable terms and privacy policies.

6.4 Payment Processors

Payment information may be shared with Stripe or another payment provider to:

  • Process participant payments;
  • Issue refunds;
  • Prevent fraud;
  • Handle disputes;
  • Verify organizers;
  • Process connected-account payouts; and
  • Meet financial, identity-verification, and regulatory requirements.

Payment processors independently control certain information they collect and may process it under their own privacy policies.

6.5 Campgrounds, Guides, and Trip Vendors

We may disclose information to a campground, guide, outfitter, rental provider, food provider, activity company, or other vendor when reasonably necessary to deliver a booked service, satisfy a permit requirement, or address participant safety.

6.6 Emergency and Safety Disclosures

We may disclose information to:

  • Emergency responders;
  • Search-and-rescue personnel;
  • Healthcare providers;
  • Park rangers;
  • Law enforcement;
  • Emergency contacts;
  • Campground staff; or
  • Other appropriate parties

when we reasonably believe disclosure is necessary to protect someone's health or safety.

6.7 Legal Compliance and Protection

We may disclose information when we reasonably believe it is necessary to:

  • Comply with a legal obligation;
  • Respond to lawful process;
  • Enforce our agreements;
  • Investigate fraud or misconduct;
  • Protect legal rights;

6.8 Business Transactions

If Weekend Campouts is involved in a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar business transaction, personal information may be disclosed as part of that transaction. Any successor may continue to use personal information as described in this Privacy Policy unless users are notified otherwise.

6.9 With Your Direction or Consent

We may disclose information when you direct us to do so or provide consent.

7. Sale and Sharing of Personal Information

Weekend Campouts does not sell personal information for money.

Some privacy laws define "sale" or "sharing" more broadly and may include certain disclosures involving analytics, advertising cookies, or cross-context behavioral advertising.

If Weekend Campouts uses technology that constitutes selling or sharing under applicable law, eligible users will be provided with the required opt-out method.

Weekend Campouts should not use sensitive information, signed-waiver information, health information, dietary information, precise location information, or payment details for targeted advertising.

Where legally required, Weekend Campouts will recognize qualifying browser-based opt-out preference signals, such as Global Privacy Control.

8. Cookies and Similar Technologies

We and our service providers may use cookies, pixels, local storage, software development kits, and similar technologies.

These technologies may be used to:

  • Keep users signed in;
  • Remember preferences;
  • Maintain shopping or booking sessions;

8.1 Essential Cookies

Essential cookies support features such as login, booking, payment, security, and saved preferences. Disabling these cookies may prevent parts of the Platform from working.

8.2 Analytics Cookies

Analytics technologies help us understand how the Platform is used.

8.3 Advertising Cookies

If advertising or retargeting technologies are used, they may collect information about browsing activity to measure campaigns or deliver relevant advertising. Where required, nonessential advertising cookies will not be activated until the user provides consent.

You may manage cookies through:

  • The Platform's cookie-consent tool;

  • Advertising-industry opt-out tools; or
  • Applicable privacy-request links.

Blocking cookies may affect Platform functionality.

9. Do Not Track and Global Privacy Control

Some browsers offer a "Do Not Track" setting. Because there is no single universally accepted standard for responding to all Do Not Track signals, the Platform may not respond to traditional Do Not Track signals.

Where required by applicable privacy law, Weekend Campouts will recognize legally valid opt-out preference signals, including Global Privacy Control, as a request to opt out of the sale or sharing of personal information associated with that browser or device.

10. Data Retention

We retain personal information for as long as reasonably necessary to:

  • Maintain an active account;
  • Provide booked services;
  • Fulfill the purposes described in this Privacy Policy;
  • Maintain transaction and tax records;
  • Administer credits and refunds;
  • Keep waiver and legal acceptance records;
  • Resolve disputes;
  • Investigate incidents;
  • Enforce agreements;
  • Prevent fraud and repeat abuse;
  • Satisfy insurance requirements; and
  • Comply with applicable law.

Different types of information may be retained for different periods. For example:

  • Account information may be retained while the account is active;
  • Booking and payment records may be retained as required for accounting, tax, and dispute purposes;
  • Signed waivers may be retained for the applicable legal limitation period and any additional period reasonably necessary for claims involving minors;
  • Safety and misconduct reports may be retained to protect users and prevent repeat violations;
  • Marketing information may be retained until consent is withdrawn or the information is no longer needed; and
  • Deleted content may remain temporarily in backups before being securely overwritten.

We may retain deidentified or aggregated information that can no longer reasonably identify an individual.

We use reasonable administrative, technical, and organizational measures designed to protect personal information.

No website, application, transmission, or storage system is completely secure. We cannot guarantee absolute security.

Users are responsible for maintaining the confidentiality of their passwords and promptly notifying us of suspected unauthorized access.

Depending on the Platform features available, you may be able to:

  • Change your profile photograph;
  • Edit profile answers;
  • Control certain profile visibility settings;

  • Leave or modify carpool and potluck signups;

Certain information cannot be edited or deleted through the account when it must be retained for legal, financial, safety, fraud-prevention, insurance, or dispute-resolution reasons. For example, deleting an account may not delete completed transaction records or signed waivers.

13. Privacy Rights

Depending on where you live and the laws that apply, you may have rights concerning your personal information.

These rights may include the right to:

  • Know whether we process your personal information;
  • Request access to personal information;
  • Request correction of inaccurate information;
  • Request deletion of certain information;
  • Receive a portable copy of certain information;

  • Opt out of targeted advertising;

14.4 Sale or Sharing

Weekend Campouts does not sell personal information for money.

If our use of advertising or analytics technology constitutes selling or sharing under California law, California residents may request to opt out through the Do Not Sell or Share My Personal Information option (when available) or by contacting us using the information below. Where legally required, we will also process a valid Global Privacy Control signal.

14.5 Sensitive Personal Information

We use sensitive personal information only for purposes reasonably necessary to:

We may need to verify your identity before completing a request. Verification may involve confirming access to the email address associated with your account, confirming booking information, or requesting additional information appropriate to the request.

An authorized agent may submit a request where permitted by law. We may require proof of the agent's authority and may ask the user to verify their identity directly. We will not discriminate against a user for exercising an applicable privacy right.

14.7 California "Shine the Light"

Weekend Campouts is not directed to children under 13, and children under 13 may not create their own Platform accounts. We do not knowingly collect personal information directly from children under 13 without appropriate parental authorization.

A minor may participate in an eligible trip only when the required parent or legal guardian:

  • Registers or authorizes the minor;
  • Provides required information;
  • Signs applicable waivers and consent forms; and
  • Complies with the trip's supervision requirements.

If we learn that we collected personal information directly from a child under 13 without required authorization, we will take reasonable steps to delete it. Parents or guardians may contact us at privacy@weekendcampouts.com regarding a child's information.

The Platform may include links to or integrations with:

  • Stripe;
  • Google Maps;
  • Campground reservation services;
  • Social-media platforms;
  • Travel-insurance companies;

  • Equipment providers;

These third parties may collect information under their own privacy policies. Weekend Campouts is not responsible for the privacy, security, or content practices of independent third parties. We encourage users to review third-party privacy policies before submitting personal information.

Weekend Campouts is operated from the United States.

If you access the Platform from outside the United States, your information may be transferred to, stored in, and processed in the United States or other countries where our service providers operate. Those countries may have privacy laws that differ from the laws where you live.
